Trainee Guide
A short walkthrough of everything you can do as a learner on PhysioGuidance — from signing up to earning your certificate.
1. Registration & Sign In
Open your account, sign in, and recover access.
Create your account
- Click Get Started from the top-right of any page.
- Fill in your name, National ID or Iqama (10 digits, starts with 1 or 2), email, and a password.
- Optionally add your SCFHS registration number — you can add it later if you need CME certificates.
- Accept the Terms and complete the reCAPTCHA.
- Submit — your account is ready immediately, no email verification.

Sign in
- Enter your email and password.
- If two-factor authentication is on, we email you a 6-digit code — enter it to finish.
- Tick Remember me to stay signed in on this device.

Forgot your password?
- Open Forgot Password from the sign-in screen.
- Enter your email — we send a reset link.
- Follow the link, choose a new password, and sign in.
Cancelling account deletion
If you deleted your account by accident, the confirmation email includes a signed Cancel Deletion link. One click restores your account. You have 30 days from the request.

2. Language, Profile & Preferences
Switch languages, keep your info current, and control notifications.
Switch language
- The language toggle sits in the top-right of every page. It swaps instantly between English and Arabic.
- Your preferred language is saved on your profile and follows you across devices.
- Arabic pages render right-to-left, including PDF certificates.
Edit your profile
- Go to Settings → Profile.
- Update any field except the National ID (locked once accepted).
- Add your SCFHS registration number here if you skipped it at signup — required for CME certificates.
- Upload or remove your avatar (scanned for malware before it's attached).
- Save.

Interface preferences
Also on the Profile tab: preferred language, calendar (Gregorian or Hijri), and accessibility options. These follow you across devices.
3. Browsing Courses
The public catalog, course pages, and your wishlist.
The public catalog
- Open Courses from the top navigation. Anyone can browse — no account needed.
- Each card shows the title, cover, instructor, delivery type (live, self-paced, blended, webinar), CME hours, and price. Free courses are labelled.
- Filter and search from the top of the page.

Course detail page
Click any card to see the full description, syllabus, live-session schedule (if any), instructor bio, and Add-to-cart / Buy-now buttons.

Favourites (Wishlist)
- Star any course card to add it to your Favourites.
- Favourites live on your current browser, not on your account — they don't sync across devices.
- Use Clear All to empty the list.
4. Enrolling & Paying
Checkout, payment methods, and refunds.
Cart to checkout
- Add courses to your cart from any course page (or click Buy Now to skip the cart).
- At checkout you'll see: duplicate-enrolment warning if applicable, coupon field, 15% Saudi VAT breakdown, and the SAR total.
- Choose a payment method (see next block) and confirm.
Payment methods
- Card / MADA / Apple Pay via Moyasar — secure hosted page, 3-D Secure with your bank
- Tabby — buy now, pay later in instalments; short KYC step
- Tamara — buy now, pay later in instalments; short KYC step
- Bank transfer — the platform shows the beneficiary details + a reference. Transfer from your bank, upload proof of payment. Finance approves after the file is scanned for malware.
Card and BNPL settle in seconds. Bank transfers wait on finance review.

After paying
- Success: confirmation page links you into your new course.
- Failed: the reason is shown (where the provider gives one); retry with the same or a different method.
- Bank transfer: you'll get an email when finance approves and the course appears in My Courses.
Requesting a refund
- Open Billing → Payments and expand the row for the paid enrolment.
- Click Request Refund, add a reason and any notes.
- The refund appears immediately on the Refunds tab as pending.
- Approved refunds return via the same gateway (bank transfers refunded manually by finance).

Eligibility depends on the refund window set by the course owner.
5. Your Dashboard
What you see when you sign in.
The six widgets
Your dashboard shows: enrolled/completed courses + CME hours (KPI stats), Continue Learning (courses with in-progress modules), Pending Assessments, Upcoming Schedule (with Join buttons for live sessions), Recent Grades, and Recommended Courses.
A profile-completion banner appears at the top if you're missing information that affects certificates.
Sidebar navigation
The left sidebar (right in Arabic) always shows: Dashboard, Courses, Certifications, Favourites, Invite Friends, My Rewards, Support, Billing, Settings — in that exact order.
A red dot on Invite Friends means you have unused rewards. A red dot on Support shows unread reply count.
The notification bell
The bell in the top-right shows all platform notifications independent of email — assessment reminders, session start alerts, certificate updates, ticket replies, announcements.
Click any item to open it, or use Mark All Read / Clear All.

6. My Courses
Find, filter, and manage your enrolled courses.
Finding a course
- Open My Courses from the sidebar.
- Filter by status (active, completed, dropped), delivery type, or sort order.
- Search the list by course title.
- Click a card to open the course detail.

Course detail (enrolled view)
For each enrolled course you see:
- An accordion listing every module and its materials
- The live-session schedule with Join buttons (active only inside the joinable window)
- Drop Course button (only visible during the course's cancellation window)
- Request Certificate button (only after you've submitted both course + instructor reviews)
- A View Receipt link deep-linking back into Billing

7. Learning — modules, videos, PDFs
The learn player and how course content is delivered.
The learn player
Every material in a module uses the right player for the type:
- Video — custom player with watch tracking (your progress and time-on-task are saved automatically)
- PDF — inline viewer
- Office documents (Word, Excel, PowerPoint) — inline Office viewer
- Images — displayed directly
- Quiz / mixed material — launches the assessment player (Section 8)
Resuming
Progress is saved server-side. Close the browser, come back tomorrow — playback resumes exactly where you stopped, on any device.
On mobile
The learn player supports mobile browsers. Video controls, PDF viewers, and the assessment player all adapt to smaller screens. For long assessments use a stable network — auto-save runs on a timer.

8. Assessments — quizzes & assignments
How timed quizzes and file-upload assignments work.
Timed quizzes
- A countdown timer appears in the header — do not close the browser without submitting.
- Answers auto-save at intervals so an accidental refresh doesn't lose work.
- Use the question navigator to jump between questions or flag a question to return to it.
- Click Submit — objective questions are graded immediately and you see your score.
- Manually-graded questions are marked "Awaiting review" and appear when the instructor completes marking.
Assignments (file upload)
- The interface presents an upload widget.
- Attach up to 10 files, each up to 100 MB.
- Allowed types: PDF, DOC, DOCX, JPG, PNG, WebP, GIF, MP4, MOV, MPEG, WEBM.
- Every file is malware-scanned before delivery to the instructor.
Resuming an interrupted attempt
If a session ends mid-attempt, return to the assessment. The interface restores your previous answers, the elapsed time, and any flags you set.
Reviewing a graded assessment
Open the assessment link with ?review=true appended to see: your answers, the correct answers where applicable, per-question instructor comments, and the total score.

9. Live Sessions & Recordings
Joining Zoom sessions and playing back recordings.
Joining a live session
- Open the course detail page (from My Courses).
- Each live session has a Join button.
- The button becomes active shortly before the session starts.
- Click it to open Zoom in a new tab.
- Recording of your attendance happens automatically via Zoom sync.
Self-enrolment for free/open courses
For any course priced at zero and open for registration:
- Click Enrol on the course detail page.
- The course appears in My Courses immediately.
- No checkout, no payment record.

10. Certificates & CME
Requesting, downloading, and verifying your certificates.
Requesting a certificate
- From the course detail page, first submit your course + instructor review through the review modal.
- Then click Request Certificate.
- Your request enters the pending queue. You'll see it at Certifications in the sidebar.
- Once approved, the certificate appears with a download button.
Downloading in Arabic or English
The Certifications page lists each certificate with two download buttons — one for English, one for Arabic. The PDF is generated in the language you chose at download time.
Public verification
Every certificate carries a public verification URL and a QR code encoding it. Anyone — an employer, an auditor, SCFHS — can visit that URL without a PhysioGuidance account to confirm the certificate's authenticity, holder name, course, CME hours, and issue date.

Course and instructor ratings
Two ratings are required before a certificate can be requested: one for the course, one for the instructor. This ensures every issued certificate is preceded by feedback.

11. Points, Rewards & Invite Friends
Earn points and turn them into course access or coupons.
How to earn
- Open My Points from the sidebar (labelled "Invite Friends" for legacy reasons).
- The Ways to Earn section lists every earning rule the admin has configured — for example: completing a course, referring a friend, leaving a review.
- Your current balance appears at the top.

Redeeming
- Course access — pick from the Courses Redemption Grid; the enrolment is granted immediately.
- Coupon codes — earn a redeemable code that discounts a future purchase.
- Other rewards — anything else the admin has catalogued.

My Rewards
Open My Rewards to see:
- Active tab — coupon codes, free-course grants, free-webinar grants you can still use
- History tab — past redemptions that were used or expired, with dates and metadata
Copy any code with the copy button — trailing spaces from manual typing are the most common cause of failed checkouts.

12. Support, Billing & Privacy
Getting help, managing your invoices, and controlling your data.
Support tickets & self-service
- Open Support from the sidebar. The self-service section surfaces FAQs and tutorials — search here first.
- To file a ticket, click New Ticket. Fill in subject, category, optional related course, message, and any attachments.
- Your tickets are grouped by status: All, New, In Progress, Resolved, Closed.
- Open a ticket to reply. Once support marks it resolved, you can rate the resolution from 1–5 stars.
An offline banner appears at the top during out-of-hours periods — it tells you when to expect a reply.

Billing tabs
Billing is organised into four tabs:
- Overview — the refund policy that applies to you and which gateways are currently available
- Payments — every payment you've made; each row expands into a drawer with line items, gateway used, transaction reference, and a receipt download
- Invoices — every invoice with a PDF download (English or Arabic)
- Refunds — every refund request with its status: pending, approved, refunded, or rejected

Privacy (PDPL)
The Privacy tab in Settings has three cards:
- Consents — a Marketing toggle and a Sensitive Data toggle, plus the read-only timestamps of when you accepted the current Terms and Privacy Notice
- Export Data — download a complete JSON export of everything the platform stores about you (rate-limited to once every 24 hours)
- Delete Account — opens a modal that requires your current password and an optional reason. Deletion enters a 30-day grace period; use the cancel link in the confirmation email to reverse it during that window
